Who we are
Proactive Management Group Ltd. ("Proactive Management Group", "we", "us") operates this website and provides property management and building services in Alberta, Canada. This policy explains what personal information we collect through the site, why we collect it, and what we do with it.
Information we collect
Some of what we collect you give us deliberately, through the contact, quote request and careers forms. That may include:
- Your name, company or ownership group
- Email address and phone number
- Property address, property type and portfolio size
- The services you are interested in, your timeline, and the description you provide
- For job applications: your experience, availability and any resume link you supply
The rest is collected automatically by the analytics described under Cookies and analytics below: your IP address, the pages you visit, and general information about your device and approximate location. We do not use advertising trackers, and we do not sell or rent personal information to anyone.
How your submission reaches us
Form submissions are transmitted over an encrypted connection to an automation service operated on our behalf, which formats the message and delivers it to our staff by email. The submission is retained in that service's execution history and in our email records.
Why we use it
To respond to your enquiry, prepare a quote, arrange a site visit, deliver services you engage us for, consider you for employment, and keep records of work performed on a property. We rely on your consent, given when you submit a form, and on our legitimate business interest in responding to enquiries about our services.
Who we share it with
We share personal information only where it is necessary to do the work: with subcontractors and suppliers assigned to your property, with our email and automation providers, with Google, which receives the analytics data described below, and where we are required to by law. Everyone we share with is expected to protect it to the same standard.
How long we keep it
Enquiries that do not become work are kept for up to 24 months. Records relating to services we performed are kept for as long as we are required to retain business and warranty records. Job applications are kept for up to 12 months unless you ask us to remove them sooner.
Cookies and analytics
This site uses Google Analytics 4, provided by Google, to count visits and see which pages people read. It sets cookies in your browser and sends Google your IP address, the pages you view, and general information about your device and approximate location. We look at it only in aggregate, to understand how the site is used and what to improve.
We do not set advertising or profiling cookies, we do not use analytics to identify you personally, and we do not sell or share this data for advertising. Google's handling of the data it receives is governed by its own privacy policy. You can block cookies in your browser settings, or install Google's analytics opt out add on.
Third party embeds
The contact page embeds a map from OpenStreetMap. Loading that map sends your IP address to that provider, which is governed by their own privacy policy.
Your rights
Under Canadian privacy law, including Alberta's Personal Information Protection Act and PIPEDA, you can ask what personal information we hold about you, ask us to correct it, and ask us to delete it where we are not required to keep it. Write to [email protected] and we will respond within 30 days.
Security
We use encrypted transport for form submissions and restrict access to enquiry records to staff who need it. No system is perfectly secure, so please do not send sensitive personal or financial information through the website forms.
Changes
If this policy changes we will update the date at the top of this page.
